How to Choose Salon Software: A Practical Checklist
The modules that matter, the pricing traps to avoid, and the questions to ask before you commit a year of your salon's operations to a system.
The short answer
To choose salon software, check that it covers appointments, billing and POS, customers, staff, inventory and reporting as one connected system; confirm the pricing model (flat annual versus per user per month); confirm who owns and can export your data; and confirm who supports you after go-live.
1. Start with the modules you will use weekly
Ignore long feature lists and check the six things a salon touches every week: appointments, billing, customers, staff, inventory and reports. If any of those live outside the system, you will keep a spreadsheet forever.
2. Understand the pricing model, not just the price
Per-user monthly pricing looks cheap with two staff and expensive with ten. A flat annual fee is easier to budget. Ask what happens when you add staff, add a branch, or need a module from a higher tier.
- Is the price per user, per branch, or flat?
- What is included at each tier, in writing?
- What costs extra after the first year?
3. Ask who owns the data
Your customer list, transaction history and consent records are business assets. Confirm you can export them, and confirm backups exist. Look for an explicit Backup & Recovery capability rather than a vague promise.
4. Test staff adoption before you buy
Software fails at the reception desk, not in the demo. Have the person who will actually bill customers try the flow — booking, billing, discount, close. If it takes more taps than the notebook, it will not be used.
5. Find out who supports you
Ask whether support comes from the team that built the product. Direct access to engineers means a fix or a change is possible; a ticket queue usually means neither.
